How much are missed calls costing your business?

Put in your call volumes and job values. You get what missed calls cost you each year, what an AI receptionist could win back, and how fast it pays for itself. If it would not pay back, it says so.

Four questions. We use typical figures for the rest.

A worked example

A plumbing and heating firm gets about 120 calls a month and misses 38% of them, around 46 calls. About 60% of those are genuine new enquiries, roughly 27 a month. Winning 30% of them at £450 a job with a 40% margin, that is about £17,700 of profit a year lost to missed calls. An AI receptionist that answers half of them wins back about £8,900 on cautious figures and pays for itself in roughly three months. Your own figures will differ, which is the point of the calculator.

What it counts

  • Calls nobody answered, from your call log.
  • The share of those that were genuine new enquiries.
  • The jobs and profit those enquiries would have brought in.

What it leaves out

  • Repeat customers and referrals.
  • Callers who would have rung back or waited.
  • Your own time to set the service up.

Questions people ask

How much do missed calls cost a business?

The cost is calls a month × share missed × share that are new enquiries × win rate × job value × profit margin × 12. In the example, a plumbing and heating firm taking 120 calls a month and missing 38% loses about £17,700 of profit a year before any fix. Enter your own figures to see yours.

How do I calculate the cost of missed calls?

Count a typical month of unanswered calls from your phone log, keep the share that were genuine new enquiries, then multiply by the share you would have won, your average job value and your profit margin. The calculator does this in two minutes and shows the formula.

How do I find out how many calls my business misses?

Your phone provider or phone system keeps a call log with answered and unanswered calls. Count a typical month. The calculator starts from sector rates taken from the industry studies summarised in our guide to what missed calls cost UK small businesses, so use those only until you have your own figure.

Is every missed call a lost enquiry?

No. Many missed calls are suppliers, wrong numbers or existing customers. The calculator only counts the share that are genuine new enquiries, 60% by default. You can change that in Advanced.

How much does an AI receptionist cost in the UK?

An AI receptionist starts from £2,000 set-up plus £99 a month, excluding VAT and usage costs. You can change both figures in Advanced to see how the payback moves.

Is an AI receptionist worth it for missed calls?

It is when the profit from the calls you would otherwise miss is greater than its cost. The calculator compares the two on cautious figures and says plainly when it would not pay back.

What does an AI receptionist do with a call?

It answers, asks what the caller needs, books the job or takes their details, and passes anything awkward to a person. It does not replace you for complex or sensitive conversations.

Are these figures a promise?

No. It is an estimate built from the numbers you enter and a small set of assumptions that are shown on the page. Real results depend on your business and how well the service is set up. Check your figures against your own records before you commit to anything.

Is my information stored?

The numbers you type stay in your browser. We record that the calculator was used and the verdict it gave, not your figures. Nothing is sent to us unless you press the send button and give us your contact details.
