AI Adoption & Implementation for UK Businesses from Softomate Solutions

AI Adoption & Implementation for UK Businesses

Softomate helps UK businesses adopt AI properly. We choose the right tools, set them up inside the systems your team already uses, train people on their real work, agree sensible rules for company data, and track whether use sticks after launch. Many AI projects stall because the software works but nobody changes how they work. We plan for that from the first week. It starts with a free initial call, then a fixed scope after discovery.

01. What we do

What does AI adoption and implementation cover?

Adoption is the work between buying AI tools and getting a measurable benefit from them. We cover the whole path, and you can start at whichever stage you are at.

Discover and prioritise

Map how work flows, find the tasks where AI saves real time and rank them by payback, effort and risk. This is the planning stage, covered on our AI consultancy page.

See AI consultancy

Set up and integrate

Configure ChatGPT, Claude or Microsoft Copilot inside your own accounts, connect your documents and systems, and build the first working tools where a ready-made one does not fit.

See how we build

Train and embed

Role-based sessions on your own emails, documents and spreadsheets, a few internal AI champions, and short follow-ups so new habits form.

About AI champions

Govern and measure

An AI-use policy, rules on what staff may paste into AI tools, an approved-tools list, and a simple monthly view of who is using what and what it saves.

About policy and risk

Which businesses is this for?

It suits UK businesses and organisations that already use, or have paid for, AI tools but are not seeing them used day to day. It also suits teams starting from scratch that want to begin with a plan, not a pile of licences.

If you are still deciding where AI fits, start with the AI consultancy page instead. If you know what you want working, this is the right place. A short on-site sprint of a few days is one way to begin: we map the work, set up the tools and build the first working tool together.

02. How it works

How does an AI adoption project run?

1. Discover

We agree the goal, interview a few people who do the work and list the tasks that eat time. We pick two or three that are frequent, clear and low risk, and write down how we will know they improved.

2. Implement

We set up the chosen tools on your own accounts, connect the documents and systems they need, and build anything that is missing. Settings, access and costs are documented so you can run it without us.

3. Embed

We train people by role on their real tasks, name a few champions in each team and run short clinics for anyone stuck. The aim is that the tool becomes part of the normal way of working.

4. Optimise

We review usage and results monthly, retire tools that are not earning their place, add the next use case and keep the policy and approved-tools list current.

Do you need AI champions in your team?

An AI champion is someone in each team who uses the tools well, shares what works and is the first person colleagues ask when they get stuck. Champions turn a one-off training day into a habit, because help is always close by.

Most smaller businesses need two or three champions, chosen with us and supported with a short monthly session. Larger organisations and public bodies can run a fuller champions programme with workshops, drop-in clinics, showcase sessions and reporting. Ask us if you want that scale.

What do team AI workshops look like?

These are not general courses on what AI is. Every session uses your own documents, emails, spreadsheets and processes, so people leave having done a real task faster. Typical formats:

  • A leadership briefing on risks, rules and where to start.
  • Role-based workshops, for example for finance, operations, sales or administration teams.
  • Clinics for people who tried a tool and stopped using it.
  • Refresher sessions when tools or policies change.

How do we handle AI policy, data and risk?

Staff are already pasting company information into AI tools, whether or not you have a rule. We help you put a short AI-use policy in place, agree which tools are approved, set out what must never be pasted in, and decide who signs off new uses.

This supports your data protection work. It does not replace legal advice, and we do not promise compliance with any regulation. Where your sector has specific rules, your compliance lead or adviser decides what applies.

For background, read our guide to AI governance for UK smaller businesses.

How do you know it is working?

We agree a few simple measures at the start: how many people use the tools each week, the time saved on named tasks, a quality check on the results and what staff say. We report on them monthly. If a tool is not earning its place, we say so and stop paying for it. Our AI payback calculator can help you test a business case before you commit.

03. Costs and scope

How is AI adoption priced?

We scope adoption work after a free initial call and a short discovery, then give you a fixed price in writing. Cost depends on how many people are involved, which tools you use, how much needs building and how much support you want afterwards.

We separate our fees from tool licences, usage charges and any build work, and we list exclusions up front. The current price for discovery work is on the AI consultancy page.

04. FAQs

What do buyers ask before starting?

What is AI adoption?

AI adoption is getting AI tools into everyday use across a business, not just buying them. It covers choosing the right tools, setting them up in the systems your team already uses, training people on their own tasks, agreeing rules for company data and checking that use continues. A business has adopted AI when staff reach for it without being reminded and the results can be measured.

What is the difference between AI adoption and AI implementation?

Implementation is the technical setup: configuring tools, connecting systems and building what is missing. Adoption is the human side: training, habits, rules and tracking. Implementation without adoption gives you software nobody uses. We do both, so the plan covers the people as well as the tools.

Should we start with training or custom automation?

For most businesses, start with the AI tools you already own and train people on a few frequent tasks. It is quicker and cheaper, and it shows which tasks are worth automating properly. Custom automation makes sense once a task is repeated often, has clear inputs and a measurable result. We will tell you if a ready-made tool does the job and a build is not worth it.

How much does hands-on AI training for a small team cost?

It depends on the number of people, how many sessions you need and how much follow-up you want, so we quote after a short call rather than publish a figure. The quote is fixed, in writing, and separate from any tool licences. Ask for it by role or by team if you want to compare options.

What are AI champions?

AI champions are people inside your team who use AI tools well, share what works and help colleagues who get stuck. They make adoption last after the training day is over. Smaller businesses usually need two or three. Larger organisations can run a fuller programme with workshops, clinics and reporting.

Do you only work with Microsoft tools?

No. We work with Microsoft Copilot, ChatGPT and Claude, and with automation tools where they fit. We recommend whatever suits your data, budget and the way your team works, even when that is a simple option. Microsoft 365 firms can also see our dedicated page on Copilot training and adoption.

How do you protect our company and client data?

We set tools up on your own accounts, agree what staff may and may not paste into AI tools and document the access settings. We follow UK GDPR principles in our recommendations. Anything involving personal or regulated data is discussed with your own data protection lead before it goes live.

How long does it take?

A short sprint to set up the first tools and train an initial group can take a few days. Embedding the habit, with follow-up sessions and reviews, takes weeks to a few months depending on the size of the team. We agree the timeline in the written scope.
