What would AI actually pay back for your business?

Answer a few quick questions with rough figures. You get an honest estimate of what unanswered calls, repeat admin and slow replies cost you, set against the cost of fixing them. If the answer is no, it says so.

Five questions. We use typical figures for the rest.

A worked example

A plumbing and heating firm takes about 120 calls a month, misses 38% of them, and wins 30% of the genuine enquiries at around £450 a job with a 40% margin. With only the calls area switched on, an AI receptionist recovers about £8,900 of profit a year on cautious figures and pays for itself in roughly three months. Adding admin automation and faster replies raises the total to about £15,600 a year, but also the cost, so payback stretches to around ten months. Your own figures will differ, which is the point of the calculator.

What it counts

  • Enquiries lost because nobody answered a call in time.
  • Staff hours spent on admin that follows the same steps every time.
  • Written enquiries that wait too long for a first reply.

What it leaves out

  • Repeat customers and referrals.
  • People who would have waited or called back.
  • Your own time to set the service up.

Questions people ask

How much time and money can AI and automation save a small business?

It depends on where your hours and enquiries go today. In the example above, 20 hours a week of repeat admin at £22 an hour is about £22,900 a year of staff time, and the cautious case assumes only a quarter of it can be automated, about £5,700. Add the calls you miss and the replies that arrive too late, then set the total against the cost. Enter your own figures to see yours.

How do I calculate the payback period for AI?

Divide the set-up cost by the profit won back each month after the monthly fee. In the calls-only example, an AI receptionist wins back about £741 a month on cautious figures, so after the £99 monthly fee the £2,000 set-up is repaid in roughly three months. The calculator does this for each area and for all three together.

How is the AI payback calculated?

For each area you switch on, we estimate the profit you are losing today, work out how much of it an AI service could realistically recover, and set that against the set-up and monthly cost. The headline is the cautious case. Expected and best cases are shown in the breakdown.

Is AI worth it for a small business?

It is worth it when the profit it wins back is greater than what it costs, within a period you accept. If your figures do not pay back within three years, the calculator says so plainly. That is a useful answer, and we would rather you knew before spending anything.

How much does AI cost for a small business in the UK?

An AI receptionist starts from £2,000 set-up plus £99 a month, excluding VAT and usage costs. Faster replies use our published price for a fuller GoHighLevel implementation, £3,500 set-up plus £199 a month. Admin automation is scoped to your processes, so its figure is indicative until we have spoken. You can change every price in Advanced.

What counts as repeat admin that AI or automation can handle?

Work that follows the same steps every time: retyping details between systems, chasing quotes and invoices, sending confirmations and reminders. Work that needs judgement stays with your team, which is why even the best case assumes only about 55% of admin time can be automated.

Where do the starting figures come from?

The sector missed-call rates are taken from the industry studies summarised in our guide to what missed calls cost UK small businesses. Typical job values are illustrative. Every starting figure can be changed, and the calculator is most useful with your own numbers.

Are these figures a promise?

No. It is an estimate built from the numbers you enter and a small set of assumptions that are shown on the page. Real results depend on your business and how well the service is set up. Check your figures against your own records before you commit to anything.

Is my information stored?

The numbers you type stay in your browser. We record that the calculator was used and the verdict it gave, not your figures. Nothing is sent to us unless you press the send button and give us your contact details.
