Microsoft Copilot Training & Adoption for UK Teams from Softomate Solutions

Microsoft Copilot Training & Adoption for UK Teams

Softomate helps UK businesses that use Microsoft 365 get real use from Copilot. We check which Copilot product your team actually needs, review your data and permissions before rollout, train people on their own tasks in Outlook, Word, Excel, Teams and PowerPoint, and track whether use sticks. Many firms buy licences and then watch them go unused. We work on your own tenant and your own accounts, and we start with a free initial call.

01. What we do

What do Copilot training and adoption cover?

Copilot only pays back when people use it on work that matters. We handle the checks beforehand, the training and the follow-up, so the licences you buy get used.

Licence and fit check

Microsoft sells Copilot in more than one form. We check what your tenant already includes and which staff would gain from a paid licence, so you do not buy more than you need.

About Copilot options

Data and permissions review

Copilot works within what each person can already open. Over-shared folders, old Teams sites and loose SharePoint permissions show up quickly, so we review sharing before rollout.

About data and safety

Training on real tasks

Sessions by role on your own work: triaging Outlook, summarising Teams meetings, analysing Excel data, drafting in Word and preparing PowerPoint decks.

Rollout and adoption tracking

A pilot group first, a few champions in each team, usage figures from the Microsoft admin tools and a review at 30, 60 and 90 days.

Which businesses is this for?

It suits UK businesses and organisations that run on Microsoft 365 and either already have Copilot licences, or are deciding whether to buy them. It also suits teams that tried Copilot once, found it patchy and stopped.

02. How it works

How does a Copilot rollout run?

1. Check licences and readiness

We confirm which Copilot products your tenant includes, which staff would benefit most and whether your Microsoft 365 setup is ready. You get a short written view before anything is bought.

2. Prepare data and permissions

We review how files, sites and mailboxes are shared and agree fixes with your IT contact. Tidying this first avoids staff seeing information they should not.

3. Pilot with a small group

We start with a few people from different teams, give them real tasks to try and collect what works and what does not. The pilot sets the training content and the success measures.

4. Train and roll out

Role-based sessions for each team, with prompts and examples built from your own documents. Champions in each team give day-to-day help.

5. Track and adjust

We review usage and feedback at 30, 60 and 90 days. Licences nobody uses can be reassigned, and the next use cases are added.

Copilot Chat or Microsoft 365 Copilot: which does your team need?

Microsoft offers Copilot in more than one form. A chat assistant is available to many people with a work account. A paid Microsoft 365 Copilot licence adds Copilot inside the Microsoft 365 apps and lets it work with your own files, mail, meetings and chats, within each person's existing permissions.

Names, entitlements and prices change, so we confirm what your own tenant includes before we advise. Many teams find that only some roles need the paid licence. Microsoft's own overview is linked at the bottom of this page.

Copilot, ChatGPT or Claude: which should your team use?

There is no single right answer. Copilot is strongest where your work already lives in Microsoft 365. ChatGPT and Claude can suit tasks that do not depend on your Microsoft data, or teams that prefer them. The deciding factors are where your data sits, what your policies allow, what each tool costs for the people who would use it, and how easily your staff pick it up.

We compare them against your actual tasks and tell you plainly when a combination, or a simpler option, is the better fit. Our AI adoption service covers all three.

Is Copilot safe to use with company and client data?

Microsoft documents how Copilot handles your data, and its access follows each person's existing Microsoft 365 permissions. That is also the risk: if permissions are too loose, Copilot can surface things a person technically could open but should not see. Whether Copilot is right for you depends on your permissions, policies and the kind of data you hold.

We review sharing and permissions, help you write short rules for staff, and flag anything your data protection lead should decide. We do not promise compliance with any regulation, and we do not replace legal or security advice.

03. Costs and scope

How is Copilot training and adoption priced?

We scope the work after a free initial call, then give you a fixed price in writing. Cost depends on the number of people, how many roles need their own training, how much permission clean-up is needed and how much follow-up you want.

Microsoft licences are bought separately and are not part of our fee. We list that, and any exclusions, up front. The current price for discovery work is on the AI consultancy page.

04. FAQs

What do buyers ask before starting?

Do we need to buy Microsoft 365 Copilot for every employee?

Usually not. Many teams start with a pilot group and then extend licences to the roles that get real value, such as heavy users of email, documents, spreadsheets and meetings. We help you work out who benefits, so you avoid paying for licences that sit unused.

What is the difference between Copilot Chat and Microsoft 365 Copilot?

Copilot Chat is a chat assistant available to many people with a work account. Microsoft 365 Copilot is the paid licence that adds Copilot inside the Microsoft 365 apps and lets it work with your own files, mail, meetings and chats. Entitlements change, so we check what your tenant includes before recommending anything.

Is Copilot better than ChatGPT for business?

It depends on where your work lives and what your policies allow. Copilot is strongest for tasks built around Microsoft 365 data. ChatGPT or Claude can suit other tasks. We compare them against your real tasks and recommend what fits, which is sometimes a mix.

Is Microsoft Copilot safe for confidential data?

Microsoft documents how Copilot handles data and says its access follows each user's existing permissions. Safety in practice depends on your permissions, policies and data. We review them before rollout and flag anything your data protection lead should decide. We do not promise compliance with any regulation.

How long does a Copilot rollout take?

A pilot with a small group can run within a few weeks of the licence and permission checks. A wider rollout with role-based training and follow-up takes longer, depending on team size. We agree the timeline in the written scope and review at 30, 60 and 90 days.

We already bought Copilot licences. Can you help us get them used?

Yes. That is a common starting point. We look at who has licences, who is using them and why the rest are not, then train people on their real tasks and track use. Unused licences can be reassigned to people who will use them.

Can you train our team in person or online?

Both. We run sessions on site in London and across the UK, or online, whichever suits your team. Sessions use your own documents and tasks, with prompts and examples built for each role.

Where should you go next?

These pages cover the connected decisions.
