Power BI Consulting for UK Businesses from Softomate Solutions

Power BI Consulting for UK Businesses

Softomate provides Power BI consulting for London and UK businesses. We connect agreed business data, define the measures and build a report your team can use to make decisions. A focused reporting implementation starts from £2,500, with optional care from £99/month. Licences, hosting and any additional integration work are separate; prices exclude VAT.

01. What we build

Get the same answer from the same business data

A sales report is useful only when finance and operations agree what its figures mean. We start with the decision: which orders need attention, where margin is changing or which customers are overdue. Then we establish the source records, calculation rules and refresh requirements. The first scope covers one agreed reporting use case and source. Wider warehouse, ERP and CRM consolidation is separately quoted.

Sales and margin reporting

Define whether a sale means an order, dispatch or posted invoice. Separate discounts, refunds and tax before comparing margin between periods. Drill back to source records when a total needs explaining.

Explore sales and margin reporting

Cash and overdue invoices

Group balances by the agreed due-date rules and account for credit notes and partial payments. Keep customer-level access limited to the staff who need it.

Explore cash and overdue invoices

Stock and purchasing visibility

Report on available stock, outstanding orders and slow-moving items from the agreed dataset. Purchasing recommendations and forecast-model development are separate from a focused dashboard.

Data preparation and modelling

Confirm identifiers, dates, currencies and table relationships before adding charts. Document exclusions and reconciliation checks so a refreshed report does not silently change the meaning of a KPI.

Explore data preparation and modelling

Refresh and ownership

Identify how the report reaches its source, whether a gateway is required and who maintains the connection. Include a visible data-refresh time so staff can recognise stale figures.

AI exception monitoring

A dashboard helps staff inspect performance. An AI monitoring workflow can send an explained exception to an owner. These are different scopes; the latter starts from £5,000.

Which systems and teams does this suit?

We work with agreed Excel tables, databases and permitted ERP or CRM extracts and APIs. For Odoo, Dynamics 365, Salesforce, Sage, SAP, HubSpot, Zoho or a bespoke system, discovery confirms the edition, data access and connection method. Power BI licences and any gateway or hosting requirements are itemised. A connector name alone does not establish that every required field is available.

This suits a business that has useful data but inconsistent spreadsheets, repeated report preparation or measures nobody can reconcile. Bring the report you currently use and the decision it should support. If the underlying records are incomplete, we identify the data-cleaning work first. We can work with a London management team and deliver remotely to colleagues elsewhere in the UK.

02. How it works

How do we take the workflow into production?

1. Agree the decision and measure

Choose one operational question and define each KPI, period and filter. Identify who uses the report and which records they can see. A documented definition prevents teams interpreting the same chart differently.

2. Reconcile a sample

Compare a representative dataset with source-system totals. Include a refund, a partial payment and a changed record where relevant. Resolve discrepancies before choosing colours and charts.

3. Build and test the report

Create the agreed model, measures and views. Test report filters, refresh failures and user permissions. A successful desktop preview is not sufficient evidence that scheduled refresh and sharing work.

4. Hand over a maintainable report

Provide the agreed report files, calculation notes, connection inventory and ownership instructions. Walk the report owner through an exception and the process for requesting a new measure.

How are decisions and exceptions controlled?

Define what the workflow may read, prepare and change. Keep consequential actions behind the permissions and approval rules your business has agreed. A confidence score can help route uncertain results, but the action must also pass the business checks. The integration records the source, the proposed change and the decision.

Test missing information, duplicate events, rejected approvals and unavailable systems alongside the successful path. Agree how staff pause the workflow and recover an incomplete task. The handover identifies the owner, monitoring responsibilities and support arrangements, so an exception reaches someone who can resolve it.

03. Costs and scope

What does the implementation cost?

Implementation starts from £2,500 for one agreed reporting use case and source; data preparation and access dependencies defined. Monthly care starts from £99/month. Prices exclude VAT. Required licences, hosting and usage are separate. Care is optional after client-managed handover; additional development is quoted separately.

Larger implementationSeparately scopedAdditional sources, workflows, channels or permission models require a written extension to the first scope.

Bring the current process and a representative sample to a scoping call. The written proposal separates implementation from licences, usage and support, records VAT treatment, and identifies exclusions. We agree the acceptance tests and responsibilities before the build starts.

04. Worked example

What should a useful demonstration show?

Illustrative acceptance example: a sales file contains ten invoices, one credit note and two currencies. The report should reconcile with the agreed accounting totals after the documented conversion and credit-note rules. A second user should see only the records permitted for their role. This is a test specification, not a client result or a claim of measured savings.

Use this example to specify the behaviour you need in a demonstration. The written acceptance tests identify the input, expected result and exception outcome for your own implementation.

05. FAQs

What do buyers ask before starting?

Can you improve our existing Power BI report?

Yes. We first inspect its model, measures, source connections and current problems. A targeted repair can have a smaller scope than replacing the report. The proposal identifies what is retained, which measures change and how totals will be reconciled before the revised report is handed over.

Does the starter include several ERP and CRM connections?

The starter covers one agreed reporting use case and source. Combining several systems can require identity matching, additional connectors and a shared data model. We list those connections separately rather than treating every integration as included in the entry fee.

Can different employees see different data?

Yes, access design is part of the agreed scope. Power BI supports row-level security, but workspace roles and how a report is distributed also matter. We test the intended viewer accounts and access routes rather than assuming a hidden page or filter protects information.

Will the report update automatically?

We agree a refresh schedule that matches the source and licence arrangement. Some sources require a gateway or service identity. The handover records the owner and the failure notification, and the report should show when its data last refreshed. Near-real-time reporting requires its own technical assessment.

Is AI included in the dashboard price?

A focused report does not automatically include an AI assistant, forecasting model or exception-monitoring agent. We can scope these around a useful reporting foundation. AI management monitoring starts from £5,000 for the catalogue scope, with care from £299/month and required usage or infrastructure extra.

What do you need before quoting?

Send a sample report, the decision it supports, the source system and an anonymised data example. Include the expected users and any access restrictions. We confirm whether the first requirement can use one source or needs a wider data-preparation and integration phase.

What does the first implementation cost?

Implementation starts from £2,500 for one agreed reporting use case and source; data preparation and access dependencies defined. Monthly care starts from £99/month. Prices exclude VAT. Required licences, hosting and usage are separate. Care is optional after client-managed handover; additional development is quoted separately.
