Party wall surveyor software development for UK RICS surveyors

Party Wall Surveyor Software Built Around the Act

Custom matter management software for UK party wall surveyors. Statutory deadline tracking built around the Party Wall etc. Act 1996. Schedule of Condition workflow with photo evidence. Award generation with Section 10 language. RICS-compliant audit trails. Fixed price from £6,000.

01. Why party wall surveyors use Excel, and why that breaks at scale

Most practices manage Party Wall etc. Act 1996 matters in spreadsheets. Until they don't.

The UK has around 800 to 1,200 firms practising party wall surveying, with approximately 3,500 individual surveyors regularly handling Party Wall etc. Act 1996 matters. The Pyramus & Thisbe Club, the leading party wall professional body, has approximately 1,800 members. The market is well-served by specialist surveyors but poorly served by software. Most practices manage matters in Excel, Outlook and Word, with the statutory timeline reconstructed from memory and email chains when challenged.

This works at low matter volume. It breaks at scale, and it breaks under audit. A typical sole practitioner runs 20-30 concurrent matters. A mid-sized practice runs 80-150. Each matter has multiple statutory deadlines: the 14-day notice acknowledgement window, the 14-day dissent escalation, the 10-working-day award issue requirement after dispute, plus the 6-year record retention obligation under Section 10. Tracking these in spreadsheets means at least one deadline gets missed every year for every 50 matters handled. A missed deadline can invalidate an award or expose the surveyor to liability.

The second pressure is fee defensibility. Section 10(13) requires fees to be reasonable, and challenges are common. A practitioner with structured time and decision evidence per matter wins those challenges quickly. A practitioner with reconstructed notes from Outlook usually concedes the disputed fee. Across a year, the difference adds up to several thousand pounds per surveyor.

The third pressure is RICS audit. RICS-regulated firms face routine inspection, and audit teams expect to see structured per-matter records covering decisions, communications, fee calculations and statutory deadlines. Producing this from an email-and-Excel stack consumes 30-60 minutes per matter requested. A 10-matter sample takes the better part of a day to assemble.

02. What we build

A matter management system built specifically around the Party Wall etc. Act 1996

Softomate-built party wall surveyor systems are built specifically around the workflow that the Act mandates. Each matter is structured with the statutory timeline as the spine, every action timestamped, every fee defensible.

Statutory deadline tracker

Each matter advances through structured stages with the 14-day notice window, 14-day acknowledgement, 14-day dissent and 10-working-day award issue all tracked automatically. SMS and email reminders fire at calibrated intervals before deadlines.

Schedule of Condition workflow

Structured Schedule of Condition capture with photo evidence per element. Photos retained alongside the matter record for the statutory 6-year period. Schedule export produces inspection-ready PDFs.

Award generation

Awards produced from structured matter data with Section 10 statutory language and the firm's house style. Fee notes generated from time tracking. Owner approval workflow with audit trail.

Section 10(13) fee management

Time and decision tracking per matter, structured to defend fee challenges. Fee notes formatted for owner approval. Historical fee comparison data for benchmarking.

RICS audit trail

Per-matter audit trail covering every communication, decision, photo, fee event and statutory deadline. Complete audit pack exportable in under 5 minutes per matter requested.

Multi-surveyor partner view

For 4+ surveyor practices: partner-level dashboard aggregating workload, capacity, fee forecasting and overdue actions across the full team.
