01. Why party wall surveyors use Excel, and why that breaks at scale
The UK has around 800 to 1,200 firms practising party wall surveying, with approximately 3,500 individual surveyors regularly handling Party Wall etc. Act 1996 matters. The Pyramus & Thisbe Club, the leading party wall professional body, has approximately 1,800 members. The market is well-served by specialist surveyors but poorly served by software. Most practices manage matters in Excel, Outlook and Word, with the statutory timeline reconstructed from memory and email chains when challenged.
This works at low matter volume. It breaks at scale, and it breaks under audit. A typical sole practitioner runs 20-30 concurrent matters. A mid-sized practice runs 80-150. Each matter has multiple statutory deadlines: the 14-day notice acknowledgement window, the 14-day dissent escalation, the 10-working-day award issue requirement after dispute, plus the 6-year record retention obligation under Section 10. Tracking these in spreadsheets means at least one deadline gets missed every year for every 50 matters handled. A missed deadline can invalidate an award or expose the surveyor to liability.
The second pressure is fee defensibility. Section 10(13) requires fees to be reasonable, and challenges are common. Across a year, the difference adds up to several thousand pounds per surveyor.
