AI & Automation Services
Automate workflows, integrate systems, and unlock AI-driven efficiency.

UK surveyors switch from Party Wall PRO to SurveyorPro for five specific reasons: SurveyorPro includes a full CRM with party wall pipeline (Party Wall PRO does not), it integrates natively with Xero, QuickBooks, Outlook, Gmail and Land Registry (Party Wall PRO does not), it offers a client portal for Building Owners and Adjoining Owners (Party Wall PRO does not), it provides per-matter file management with version control (Party Wall PRO does not), and it provides structured AI activity logging with full AI activity logging (Party Wall PRO does not use AI). SurveyorPro costs £79 per month plus £499 one-time setup, compared to Party Wall PRO at £69 per month. The £10 monthly difference replaces a typical £60 to £130 monthly cost of running additional CRM, file storage and accounting tools alongside Party Wall PRO.
Party Wall PRO has the largest UK installed base in the party wall surveying community after a decade of refinement and the support of the Pyramus and Thisbe network. UK surveyors do not leave it lightly. The switch typically follows one of four practice events: a new partner joining who wants integrated CRM and accounting visibility, a RICS audit revealing the data sync overhead, a missed deadline traced to data fragmentation between Party Wall PRO and external tools, or the practice scaling past 3 surveyors when the partner-level capacity planning gap becomes acute.
The wider party wall product landscape in 2026 is covered in the Best Party Wall Software UK ranking. The honest read on whether to switch or stay is below. For the head-to-head feature breakdown see SurvPal vs Party Wall PRO vs SurveyorPro.
Party Wall PRO is a matter management tool. It is excellent at managing matters once they exist, but it does not capture leads or visualise pipeline. UK practices that rely on Party Wall PRO alongside HubSpot, Salesforce or a spreadsheet for CRM consistently report 30 to 50 per cent of website enquiries are missed in the first 6 months without a proper pipeline. SurveyorPro includes a full CRM with pipeline stages mapped to the Act workflow: enquiry, notice issued, acknowledgement, dissent, surveyor appointed, award issued, fee settled. Every lead enters the pipeline automatically from website forms.
Party Wall PRO generates fee notes as PDF and the surveyor or admin manually uploads each one to Xero or QuickBooks. UK practices issuing 20+ fee notes per month spend 5 to 10 minutes per fee event on this manual upload, totalling 100 to 200 minutes per month per surveyor. SurveyorPro syncs natively with both Xero and QuickBooks: fee notes generated in SurveyorPro post directly as draft invoices, payment status reflects back automatically. Total time saving 1.5 to 3 hours per surveyor per month.
Building Owners and Adjoining Owners want visibility on matter progress. Without a portal, surveyors absorb 4 to 8 hours per week answering "where are we on this matter" emails. SurveyorPro includes a client portal where parties view matter status, sign documents and pay invoices. UK practices that adopt the portal typically see this enquiry traffic drop by 60 to 75 per cent, recovering 2.5 to 6 hours per surveyor per week for billable work.
Party Wall PRO stores documents but does not provide per-matter folders with version control, watermarking and secure client sharing. Most UK practices supplement Party Wall PRO with Dropbox, SharePoint or Google Drive at £6 to £18 per user per month. SurveyorPro includes per-matter file management with version control, document watermarking and secure client sharing as standard. Schedule of Condition workflow with photo evidence per element is built in.
Party Wall PRO does not currently use AI, so AI activity logging in surveying does not apply to it. This is also a future capability gap. As more party wall workflow moves to AI-assisted clause drafting and fee analysis, practices on Party Wall PRO will need to add a separate AI tool (typically SurveyorSuite) and a separate audit log. SurveyorPro uses AI for clause drafting, fee analysis and Schedule of Condition narrative drafting with full Structured AI activity logging (model, prompt, timestamp, reviewing surveyor) built in. Read the full standard breakdown in AI activity logging Party Wall Compliance Guide.
Switching software has real cost. Some UK practices are better served staying on Party Wall PRO. The honest indicators that staying is the right call:
The headline subscription difference is small (£79 vs £69 per month, £120 per year). The 12-month total cost picture is very different because Party Wall PRO requires additional tools that SurveyorPro includes natively.
| Cost line (per surveyor) | Party Wall PRO stack | SurveyorPro |
|---|---|---|
| Core product subscription | £828 | £948 |
| Setup fee year 1 | £0 | £499 |
| CRM (HubSpot Starter through Professional) | £540 | £0 included |
| File storage (Dropbox Business) | £180 | £0 included |
| Accounting integration time (manual upload) | £2,250 (30h x £75) | £0 included |
| Client portal substitute time (answering status emails) | £23,400 (312h x £75) | £0 included |
| Data sync time between tools | £15,600 (208h x £75) | £0 minimal |
| Year 1 total | £42,798 | £1,447 |
| Year 2 onwards | £42,798 | £948 |
Even if you discount the time costs heavily (assume £25 per hour rather than £75), Party Wall PRO stack year-1 total lands at £15,000+ per surveyor versus SurveyorPro at £1,447. The consolidation case wins on basic arithmetic at any realistic time cost.
Migration takes 7 to 10 days end-to-end with the Softomate team handling the heavy lifting. The £499 setup fee covers up to 200 active matters and unlimited historical matter migration.
30-minute call to understand current Party Wall PRO setup, active matter count, templates and integrations needed. Party Wall PRO export initiated by the practice (CSV format with matter records, contacts and fee history). Document files exported as a zip.
Softomate team restructures the Party Wall PRO export to the SurveyorPro matter model. Statutory timeline is reconstructed per matter. Contacts are deduplicated and linked to matters. Fee history is structured with Section 10(13) framework. Document files are imported to per-matter folders.
Firm letterhead and house-style applied to all SurveyorPro templates. Clause library imported if present in Party Wall PRO export. Section 10(13) fee scales configured. Xero or QuickBooks integration set up. Outlook or Gmail two-way sync configured. Land Registry lookup enabled.
Two 60-minute training sessions covering daily, weekly and monthly workflow. Recorded for new starters. Written playbook delivered covering matter creation, notice issue, award drafting, fee notes, audit pack export, client portal management. Pre-recorded video library accessible 24/7.
New matters open in SurveyorPro from day 7. Active matters complete in Party Wall PRO during the parallel-running window. Final cutover when active Party Wall PRO matter list is under 5 matters. Party Wall PRO subscription cancelled or downgraded to read-only access for historical lookup.
Parallel running is the safest migration approach. The team trains on SurveyorPro while still using Party Wall PRO for active matters. Three rules make this work cleanly.
Rule 1: new matters open in SurveyorPro only. From day 1 of parallel running, every new matter opens in SurveyorPro. No exceptions. This includes matters that look like they might be quick because "quick" matters become the long-tail.
Rule 2: existing matters stay in Party Wall PRO until completion. Do not migrate matters that are 70 per cent through their statutory timeline. The risk of confusing the statutory deadline state is higher than the benefit. Let them complete in Party Wall PRO. Migrate only matters that are pre-notice or in early acknowledgement stages.
Rule 3: client communications consolidate in SurveyorPro from day 1. The client portal goes live immediately. Active matters get a portal link in their next status email. Building Owners and Adjoining Owners use the portal regardless of which back-end system the matter is in.
Parallel running typically runs 5 to 7 days. Practices opening 5+ matters per week reach the cutover point within a week. Practices opening 1 to 2 matters per week may parallel-run for 14 days. The £499 setup fee covers parallel-running support throughout.
Three risks come up repeatedly in Party Wall PRO to SurveyorPro migrations.
Risk 1: statutory timeline confusion during parallel running. If the team is unclear which system a particular matter is in, deadlines can get missed. Mitigation: the parallel-running playbook above with clear rules. Every team member should be able to answer "is matter X in SurveyorPro or Party Wall PRO" in under 5 seconds.
Risk 2: client portal confusion. Existing clients may receive the portal link mid-matter and not know whether to use it. Mitigation: send a one-paragraph email to active clients explaining the portal is new and they can use either the portal or email for the remainder of their matter. After 30 days the portal becomes the primary channel.
Risk 3: template formatting differences. SurveyorPro templates have the firm letterhead and clause library applied but may produce slightly different output formatting from Party Wall PRO. Mitigation: review the first 3 SurveyorPro outputs of each type (Section 1, Section 3, Section 6, award) with the practice partner before going to live use. Any formatting adjustments happen during the parallel-running window when the cost of fixing is low.
What happens to historical matters in Party Wall PRO? They migrate to SurveyorPro as historical records with their complete statutory timeline, communications and document files. The 6-year Section 10 retention obligation is preserved. After migration the Party Wall PRO subscription can be cancelled.
Will the team need new training? Yes, but typically light. SurveyorPro is structured similarly to Party Wall PRO at the matter level. Most teams report productivity within 5 working days. The £499 setup fee includes two 60-minute training sessions and a written playbook.
Does SurveyorPro work on tablets and phones for site visits? Yes. The Schedule of Condition workflow specifically supports tablet and phone capture of photo evidence per element. Photos sync to the matter record in real time. Surveyor sign-off can happen on-site.
Can we keep using Party Wall PRO templates in SurveyorPro? Yes, the £499 setup includes template conversion. Your existing notice and award templates with house-style formatting are imported and configured in SurveyorPro. The output should be visually indistinguishable from your Party Wall PRO output for any opposing surveyor or court reviewer.
What if SurveyorPro does not work for our practice? The 30-day money-back window applies after the £499 setup completes. If the platform does not work for the practice within the first 30 days of going live, Softomate refunds the setup fee and offers free migration assistance to an alternative product (typically back to Party Wall PRO).
The best time to migrate from Party Wall PRO to SurveyorPro is the quiet period between RICS audit cycles and the seasonal lull in matter volume. UK party wall matter volume typically dips in late August and mid-December for 2 to 3 weeks each year. These windows are ideal for the team training phase.
Avoid migrating during an active RICS audit, the 30 days before a known partner change, or during a known peak matter month (typically September and February in the UK). Avoid the week of a major Pyramus and Thisbe event because key partners may be out of office and unable to sign off on configuration decisions.
For practices that need to move quickly because of an immediate pain point (a missed deadline incident, a partner-level frustration with current tooling), the migration can complete in 7 days regardless of season. The team training compresses but the underlying workflow transition still works.
SurveyorPro is the most direct alternative for UK practices wanting to consolidate tooling. It covers everything Party Wall PRO does (notices, awards, statutory deadline tracking) plus full CRM, file management, client portal and integrations with Xero, Outlook and Land Registry. SurveyorSuite is an AI-only alternative for practices wanting to add AI drafting capability. SurvPal is a lighter document-only alternative. Custom party wall software development is a separate path for practices wanting bespoke workflow.
Five reasons drive the switch: Party Wall PRO has no native CRM (lead capture and pipeline live elsewhere), no accounting integration (fee notes export to PDF and upload manually), no client portal (status enquiries arrive via email), limited file management (most practices add Dropbox or SharePoint), and no Structured AI activity logging (because Party Wall PRO does not use AI). Each of these is solved by additional tools when staying on Party Wall PRO or by switching to an all-in-one platform like SurveyorPro.
£499 one-time setup fee. This covers data migration from Party Wall PRO (up to 200 active matters), template configuration with your firm letterhead and clause library, integration setup for Xero or QuickBooks, Outlook or Gmail and Land Registry, two 60-minute team training sessions, and a 30-day post-launch hyper-care window. The SurveyorPro subscription is then £79 per month direct debit. Total year-1 cost is £1,447 per surveyor compared to typical Party Wall PRO plus additional tools stack at £15,000 to £42,000 per surveyor depending on time cost assumptions.
7 to 10 days end-to-end for the standard migration. Day 1 covers discovery and export. Days 2 to 3 cover data restructure. Days 3 to 5 cover template and integration configuration. Days 5 to 7 cover team training. Days 7 to 10 cover parallel running and cutover. Most UK practices switch over a weekend so the production system goes live on a Monday with the team trained on the new platform.
Yes. The Softomate team imports your existing Party Wall PRO templates and configures them in SurveyorPro with your firm letterhead and house-style formatting preserved. The output should be visually indistinguishable from your Party Wall PRO output. Your clause library is also imported if it exists in your Party Wall PRO setup. Any new clauses added to SurveyorPro are stored alongside the imported library.
Yes, in two ways. First, historical matters migrate to SurveyorPro with their complete records (statutory timeline, communications, fee history, document files), so the 6-year Section 10 retention obligation is preserved within SurveyorPro. Second, Party Wall PRO typically offers a read-only access tier for cancelled subscriptions so the original records remain accessible for audit and reference. Most UK practices use the SurveyorPro records and cancel Party Wall PRO entirely.
The parallel-running playbook is designed to prevent this. New matters open in SurveyorPro with native deadline tracking from day 1. Existing matters stay in Party Wall PRO until completion with its existing deadline tracking. Both systems are running during the cutover window. The risk window is short (typically 5 to 7 days) and the playbook explicitly assigns deadline tracking to one system per matter at any given moment. If a deadline is approaching during the cutover, that matter completes in Party Wall PRO regardless of where other matters live.
For practices with 30+ matters per year, current month is the right time. The introductory £79 per month plus £499 setup pricing is for a limited window. Standard pricing will be announced later. For practices under 30 matters per year, the consolidation economics are weaker and waiting is reasonable. For practices about to start a RICS audit cycle, complete the audit on Party Wall PRO then migrate. For practices about to scale (new partner joining, new office opening), migrate before the scale event so the new structure works on the consolidated platform from day 1.
Party Wall PRO has been the default UK party wall software for a decade and remains a strong choice for practices satisfied with a multi-tool stack. The five-reason case for switching to SurveyorPro is specific: full CRM, accounting integration, client portal, file management and Structured AI activity logging in one subscription rather than four separate tools. The economic case is straightforward: year-1 total cost of ownership runs £1,447 on SurveyorPro versus £15,000 to £42,000 on Party Wall PRO plus the additional tools needed to cover the same capabilities. The migration takes 7 to 10 days with the Softomate team handling data, templates, integrations and training under the £499 setup fee. The 30-day money-back window de-risks the commitment. For UK practices ready to consolidate, the introductory pricing window is the right moment to make the switch.
